Selection

Unlike some other CRMs that were built with for-profit businesses in mind, CiviCRM was designed by a nonprofit for nonprofits. CiviCRM is an open source, multi-function CRM that does a bit of everything.

CiviCRM provides constituent management, donation forms, memberships (and reminders/renewals), event registrations, mass emails, volunteer management, and a lot more. CiviCRM is available as a standalone system or as a module/plugin for Drupal, Backdrop, or WordPress sites. It can be a good choice for organizations that need their CRM to be directly connected to their website, allowing users to log in and manage their own data stored in CiviCRM directly, for instance, without needing a third-party integration.

Open source, multi-function, heavily integrated with your website—does that mean it’s right for you? It depends, because the details matter. We can help you decide, and if so, we can tailor your CiviCRM instance to your specific needs.

Migration

Moving data between CRMs can be time-consuming and error-prone. We’ll help you clean up your data, transform it into a shape that works well with CiviCRM’s data structures, then move it into CiviCRM efficiently and accurately. We work to understand how your team uses your nonprofit’s data before an import, so we can be sure how and where we put your data in CiviCRM to support your efforts. Customization

We want you to work with your CRM, not around it. Whether you’re starting fresh with CiviCRM or hoping to get more out of your existing instance, we’ll shape the platform to your needs. Because CiviCRM is self-hosted and built into your website, we can handle deep customization, including membership and donor management setups, custom fields, and automated workflows.

Also, because of our experience with CiviCRM, we can develop those customizations in a way that’s less likely to break over time, avoiding some of the pitfalls we’ve seen of customizing the wrong parts of the platform. We also ensure that the parts of CiviCRM your supporters see, such as donation pages and event registration forms, inherit the look and feel of the rest of your website.

Payment processing, recurring donations, and tax receipts

CiviCRM allows you to process donations, memberships, paid event registrations, and more; to do that, we’ll help you configure and test a payment processor like Stripe, iATS, or Authorize.net. CiviCRM can also handle recurring donations and end-of-year tax receipts, so your donors can get the full benefit of their contributions.

Integration

Even though CiviCRM is a multi-function platform, you may have other platforms in your data ecosystem. We can create integrations with the other systems your team uses every day, whether that’s QuickBooks, MailChimp, Cvent, or just about anything else we can connect with an API.

Because CiviCRM usually lives inside your website, rather than as a separate system, we often work with staff members to help them get used to accessing their CMS and donor or member data in the same place, so they can really benefit from that deeper integration.

With CiviCRM, your data is yours

One key advantage of CiviCRM is that your data lives on your server. That means you make all the decisions, including where physically your data lives (for example, if your organization is based in the EU, you can ensure your data stays in the EU).

For a privacy-focused organization or a nonprofit that needs to maintain strict control over its own data, CiviCRM can provide an alternative to passing your data over to a SaaS provider that may not be aligned with your mission. Since CiviCRM is open source, there are no licensing restrictions or other barriers that might prevent you from moving your data, integrating with another platform, or doing anything else you might want to do.

Of course, owning your own data means you’re also responsible for maintaining your server and keeping your data secure, but we can help with that, too.

Would CiviCRM be a good fit for our organization?

It depends on how much you value an integrated platform and how important it is for you to own and control your own data. Also, it helps to have an internal power user who likes to tinker and explore.

Sometimes it’s hard to tell which system would work best, which is why we audit your existing tools and practices to help your nonprofit select the right CRM. We’re platform-agnostic, so we’ll be honest about whether CiviCRM, or any other platform, would help your team.

Why do nonprofits choose CiviCRM?

Nonprofits often choose CiviCRM because they want to control their own data, or because it was designed specifically for nonprofits, rather than adapted from a general-purpose business CRM. As an all-in-one, open source CRM, it is more budget-friendly and tends to work well for teams that need a little bit of everything.

CiviCRM is open source; what does that mean for our nonprofit?

Open source software has no licensing fees, no per-user fees, and no per-contact charges, which means the platform’s direct costs are often lower than those of alternatives. Philosophically, open source is meant to be by and for the community, with code that is publicly available, allowing anyone to modify and share it. There’s no vendor lock-in, no walled garden of proprietary extensions, and no limitations on how you use your own data.

Also, open source software allows for open-ended modification. We can change anything about how CiviCRM works by modifying the code. Whether we should is another question entirely, but that’s where our years of experience can help determine whether a modification is sustainable or not.

Of course, just because CiviCRM itself is free doesn’t mean there won’t be costs. Your budget will go toward hosting, implementation, maintenance, and support instead of a monthly subscription. We’ll help you keep all of the costs in mind and provide a realistic, long-term perspective on the long-term costs and benefits of the platform.

Does our site need to be on Drupal, WordPress, or Backdrop to use CiviCRM?

Most of our clients pair CiviCRM with Drupal, WordPress, or Backdrop. (Technically, it’s also compatible with Joomla, but that’s not a setup we recommend.) In early 2025, CiviCRM introduced a standalone version of the platform, which is an option for organizations that don’t need or want integration with their website. However, we usually recommend pairing it with your website because of the additional flexibility you gain by pairing the features of the CMS with your CRM. Which is right for you? We’ll help you figure it out.

Do you provide support after our CiviCRM project ends?

Yes. We offer ongoing support to any of our clients who want it! We’ll take care of security and version updates for CiviCRM and the integrated WordPress, Drupal, or Backdrop instance that goes with it. CiviCRM is a small but ambitious open source project, which sometimes means the occasional broken feature after a big update; we’ll test for those ourselves, and we’ll help you fix anything that breaks when new features arrive. We’re also here for general training, process development, or long-term strategy.
